Job Description

When assigned to a construction project, the Document Controls Specialist will report to the Document Control Manager and Business Services Manager or Office Manager, or their designated delegate. Coordinates the completion, tracking, delivery, organization and management of all project documents.

Major Duties & Responsibilities:

  • Responsible for coordination with necessary parties to make sure document edits are made and proofed and/or submitted in a timely manner to meet set deadlines and project requirements.
  • Implements and maintains standardized document control procedures to ensure consistent management and traceability of all project documentation. Utilize Procore for tracking, and managing project documents, submittals, RFIs, and drawing logs.
  • Follows standardized procedures to track and keep records of documents.
  • Provides consistent updates on project relevant documentation/submittal KPIs/R
  • Ensures document tracking/version control and production system is maintained for all forms of documentation.
  • Makes copies of drawings for project operations team and other company employees as requested.
  • Assures that all completed documents have been signed-off by the authorized personnel.
  • Understands project milestones and ensures timely distribution of documents to the appropriate personnel on the team, including external stakeholders.
  • Implements and follows company quality assurance program procedures.

Skills/Qualifications:

  • High school diploma or equivalent.
  • Experience with Microsoft Office (Word, Excel, Outlook)
  • Experience with Procore and/or other Construction Software
  • Must exhibit excellent written and verbal communication skills
  • Very good organizational and multi-tasking abilities
  • Employee must be self-motivated, supportive, and enjoy working in a collaborative team environment.
  • Employee must be willing to work late hours and have flexibility during peak project demands to support project critical operations.
  • Must be responsive to calls, texts, and emails.
