Job Description

Upper Charles Animal Hospital is a rapidly-growing, privately-owned general small animal practice treating dogs and cats in the greater Bellingham area. We pride ourselves on an excellent client experience while providing high-quality medicine at an affordable price. Because we are growing, we are looking for a dedicated, caring receptionist interested in part time work that may evolve into full time hours. The ideal candidate for this position would also have an interest in technician assistant duties to help the doctors and other support staff as needed.

As the first and last face our clients see when coming to our practice, our receptionists play a huge role in the function of our team and success as a clinic. Receptionist responsibilities include, but are not limited to, the following:

  • Willingness to learn and become proficient in cloud-based practice management software in a paperless practice-our practice uses Shepherd management software
  • Greet clients, schedule appointments, and review documentation under direction of staff
  • Utilize software and phone system to confirm appointments via telephone call, email, and/or text message
  • Answer phones, manage phone lines, and retrieve/respond to voicemails
  • Check clinic email on a regular basis and respond to client inquiries and communications
  • Document all client communications clearly and concisely
  • Bring pertinent messages to staff including technicians, doctors, and office managers in timely fashion
  • Relay information back to clients in concise way when possible
  • Manage medical records including updating patient records and verifying demographics
  • Maintain a clean and organized front office area
  • Perform daily financial reconciliations
  • Dispense medications and prescription foods as directed by staff
  • Receive/check in deliveries

Please note also that the ideal candidate will also assist with technician duties as the schedule and their interest allows. As a result, our ideal candidate would also have experience in animal restraint and husbandry, along with a willingness to learn more about specific technician duties.

Qualifications:

  • Ability to work efficiently in a fast-paced environment while providing a positive client experience
  • Highly organized and ability to multitask
  • Willingness to learn new skills and contribute positively to the team
  • Office and animal experience, especially in a veterinary setting, highly desired

Our practice provides excellent tools to foster the growth of our employees while providing the highest standard of care to our patients. We have brand new digital DR digital radiography, digital dental radiography, abdominal ultrasound (available both with our in-house machine and with a traveling specialist), and an extensive in-house laboratory that includes an IDEXX Catalyst and Procyte. Our clinic was recently renovated and offers freshly-painted, spacious rooms with excellent workflow. We are a paperless practice with ample modern hardware, and pride ourselves on providing a technology-forward experience for our clients by utilizing online appointment requests along with digital reminders and communications.
